Project Administrator

POSITION OVERVIEW: Responsibilities include, but are not limited to planning, organizing, and coordinating project activities required for effective management of jobs. The position mostly requires the person to be at the Indianapolis office daily. There is some flexibility for work at home for special circumstances

Essential Functions:

  • Coordinating with Project Managers on material needs for projects as well as ordering material as needed.
  • Creating monthly invoices and assuring the accuracy of AIA documentation.
  • Assisting the Engineering Department in obtaining CAD files as well as coordinating the sending and receiving of submittals from customers.
  • Coordinating with Sales and Engineering Departments in converting projects from quotes/orders.
  • Completing monthly WIP adjustments to audit job as to maintain cost and labor needs.
  • Creating closeout documentation when a project is complete including O&M manuals and warranty information, and ensuring all leftover material from project is returned to vendor or transferred to inventory.
  • Inputting the weekly work schedule into Q360 in order for technicians to complete time records.
  • Entering all time and expenses for those who do not have access to Q360.
  • Approving all time and expenses for the Projects Tea

Education & Experience:

  • High School diploma or equivalent
  • Service or managed services experience
  • Any appropriate combination of education and experience as determined by management.

Additional Skills and Abilities:

Knowledge:

− Previous office management or administrative experience preferred

Proficient with MS Office tools (Word, Excel)
